  • décor & ambiance

Key outcome

150-200 business attendees
3rd consecutive edition

The insight

The value of a recurring event lies in building a recognizable signature without chasing formal escalation: each edition should confirm the brand's premium positioning through consistent execution, not novelty.

Our deliberate choices

  • Prioritizing operational control and visual consistency over multiplying activations
  • Rejecting spectacle to maintain a restrained, premium line
  • Choosing to consolidate the existing setup rather than reinvent its form
  • Focusing investment on reception quality and a smooth guest experience

The challenge

The problem

JTC Luxembourg approached us for the third time as production agency for their Asparagus Festival. Their goal: a memorable event for their partners and clients.

  • Event recurrence: signature vs. fatigue
  • Balancing formal consistency with a sense of renewal
  • Maintaining premium standards over time
  • Multi-partner coordination for 150-200 guests

Our response

Drawing on our previous collaborations, we built a complete strategy for JTC Luxembourg's Asparagus Festival. Our team handled set design, logistics, catering coordination and staff management to ensure the event ran smoothly. We worked closely with JTC Luxembourg to create an engaging experience and deliver a memorable evening for their guests.

During the event, our own event staff handled guest reception and cloakroom services.

  • Understated set design, consistent signage
  • Trained event staff, well-managed reception
  • Integrated photo and video coverage
  • Catering and logistics coordinated upfront

Strategic approach

Recurrence calls for a particular discipline: we chose to optimize the existing setup rather than reinvent its form. Each edition refines the constants that make up the event's signature without changing how it's perceived.

Understated set design

The event's visual signature rests on clean set design and discreet signage. We structured the space to ensure smooth circulation and a clear guest journey. No decorative excess: every scenographic element serves a functional purpose and reinforces the brand's premium consistency. This choice confirms that restraint isn't a step back, it's a statement of control.

Event staff

Our team handled guest reception and cloakroom services. The quality of human interaction shapes the perception of the event as much as the set design does. We trained staff on JTC Luxembourg's brand tone and reception protocols to guarantee a consistent experience. This strategic decision avoids the disconnects that come from unaligned multi-vendor coordination.

Media coverage

We built photo and video coverage into the event to extend the evening's value beyond the night itself. The event becomes a reusable communication asset: social content, institutional materials, brand archive. This approach turns a one-off activation into a lasting brand medium, justifying the investment through a broader return.

Partner coordination

Catering, logistics and technical coordination were organized in advance to protect timelines and avoid operational friction. We managed every contributor to ensure consistency at each touchpoint. This end-to-end control prevents quality gaps and protects the client's brand image in front of their guests.

Frequently asked questions

How do you keep a recurring event engaging without falling into mechanical repetition?
Recurrence means separating signature constants (understated set design, reception quality, operational flow) from optimization variables (guest journey, evening pace, logistics coordination). The goal isn't to reinvent the format every year, but to refine execution to reinforce a sense of control and reliability. A well-produced recurring event becomes a relationship medium in its own right.
What role does set design play in a premium corporate event?
Event set design doesn't decorate the space, it embodies brand positioning within the physical environment. For an institutional event, restraint and visual consistency matter more than spectacle. Every element (signage, materials, volumes) should reinforce a sense of rigor and quality without disrupting the guest experience.
Why use in-house event staff instead of an external provider?
Event staff embody the brand at its most critical moment: first contact with guests. Bringing this service into the overall production ensures aligned reception messaging, smooth coordination with technical teams, and the ability to react in real time to the unexpected. This full control over the operational chain removes tonal gaps and logistics friction.
How do you measure the success of a client loyalty event?
The performance of a loyalty event isn't measured by attendance alone, but by the depth of relationships built and the brand perception it reinforces. Qualitative signals (spontaneous feedback, time spent, quality of conversations) matter as much as quantitative metrics. A successful event strengthens the perceived closeness between a brand and its partners, well beyond the evening itself.
